Scheduling Options

Weekly Routine Schedule

We strongly recommend our students (especially those preparing for standardized exams) keep a routine weekly session time (or multiple weekly session times) to the best of their abilities. Of course, we can always plan ahead for vacations or other events. However, we also know that in many cases a routine schedule is impossible, and therefore offer the Open Schedule option below. If a student can accommodate a routine schedule and plan ahead for out-of-town or eventful weeks in advance, this is always the preferred option! The results are unequivocally better. Cancellation policies apply.

Open Schedule

This is a week-to-week schedule, meaning students choose spots based on shifting work, school, or athletic schedules. We can make no guarantees whatsoever on session availability with the Open Schedule. If a student is unable to commit to the Weekly Routine Schedule, that is genuinely no problem; however, because Open Schedule sessions are not booked in advance, there is no guarantee that a student’s preferred spot will be available. Please be aware that although it is not required, booking spots ahead of time is highly recommended by Big Future Academics. Cancellation policies apply.

Billing

When to Pay

We kindly request that the first session be paid for at the first session with cash or a check. For all subsequent sessions, clients may pay at each session, send checks via mail, or utilize our free online invoicing through QuickBooks secure payment system, which arrives in your email inbox every two weeks and can be paid for with debit or credit card. We cover the surcharge on the online payment!

How to Pay

Our hourly cost for academic and consulting work ranges from $80/hr to $120/hr depending on the nature of the work. High school subject tutoring and exam prep sessions cost $80/hr. Please contact us for information regarding the cost of other types of services. We accept cash, check, and online payments, all of which are free for our clients. The online payment options are QuickBooks, ChasePay, and Zelle. Finally, we accept bank transfers.

Confirmation

Apptoto Reminders

To keep our schedule organized, we send out text message reminders for each session 24 hours before the scheduled session. The reminders will request a response of (1) to confirm the session, (2) to cancel the session, and (3) to reschedule the session. If we do not receive a response, we will attempt to contact you directly to confirm the session. Due to our highly orchestrated schedule, if we cannot get a hold of you by 8 a.m. on the day of the session, we will have to cancel the session.


Please let us know if the phone number(s) to which you would like the reminders sent is (are) different from the phone number(s) provided on the account setup. It is very important that we have the correct emails or phone numbers on file so we can confirm the sessions.

Cancellations

48 Hour Cancellation Policy

If you need to cancel your session, please let us know at least 48 hours in advance. This allows us time to adjust the schedule in a way that allows us to help as many students as possible.

24 Hour Cancellation Policy

Cancellations that occur 24 hours before the session will result in a charge equal to half the cost of the session. Please understand that we work very hard to maintain and adjust our schedule to accommodate a wide variety of students; because of this, we need to be aware of changes to the schedule in advance. Selecting “(2) to cancel or (3) to reschedule” upon receiving a session reminder via text will result in a 24-hour cancellation fee.

Day of Cancellation Policy

Because your spot is guaranteed for your student specifically, if you cancel on the day of the session, you will be charged the full amount for the session.

Cancellation Forgiveness Policy

Because of our experience working with very busy young people and their families, we understand that there are times when families must cancel on short notice due to unforeseen events. Because of this, we waive the first cancellation fee - no questions asked!

Account Holds

There are two primary reasons why our company may need to momentarily suspend a student’s program:

Missed Sessions

Our team works very hard to maintain consistent contact and build unrivaled momentum for our students. We never want to interfere with that inertia when we can avoid it. However, because session spots and consistency are so vital to the success of our students, BFA must pause student sessions for any account of a student who has missed three consecutive sessions.

Overdue Invoices

BFA is a small, but highly orchestrated, team-based business. To keep costs low and our model in pristine shape for our students and their families, BFA must pause student sessions for any account that is more than $300.00 overdue.

Student Health

Mental and Physical Health

Although it is our policy that while we always strive to motivate our students to enthusiastically and productively engage in our work together at each session, we understand that there are times when our students are physically or emotionally - due to sickness, injury, or stress - unable to complete the work. If this is the case, our priority is to ensure the student’s wellbeing and balance. Therefore, we will never require a student to remain at a session under these or similar circumstances; we will notify parents or guardians if a student chooses to leave, but we cannot require him or her to stay.

Waitlist Policy

Waitlist

Our company operates on a first come, first serve basis. We appreciate referrals immensely and want to accommodate as many students as possible - especially those who are referred by our clients; however, we cannot give preferential treatment to any specific families or students.  The best way to get onto the schedule is to send us a request or complete the BFA member account setup form, both of which can be found on the website at www.bigfuturetutoring.com.

Lost or Stolen Items

Lost or Stolen Items

Students are responsible for their personal belongings at all times. Big Future Academics is not responsible for replacing broken, lost, or stolen items.
